Privacy Policy
Ozmates Travel Pty Ltd appreciates and highly values its customers. As an important part of service to its customers Ozmates is committed to protecting the personal information with which it is entrusted.
Introduction
To provide a service Ozmates Travel Pty Ltd (referred) to as Ozmates) asks that it be provided with certain information, including name, address, age, and contact details. The information provided is mostly personal and may also include sensitive or health information.
Ozmates understand that the confidentiality of personal information is vitally important and is committed to ensuring that all information entrusted to Ozmates is protected against misuse. Personal information is also vital to Ozmates as it enables Ozmates to provide a level of service that is expected.
The privacy policy sets out Ozmates Travel Pty Ltd commitment to both individuals privacy and the protection of personal information against misuse.
“You” and this privacy policy
Ozmates Travel Pty Ltd holiday tours are available to adults with mild to moderate intellectual disability, children with mild to moderate intellectual disability and elderly and frail holiday makers.
Ozmates commitment to appropriately handle the personal information of individuals extends not only to the passenger but also to passenger’s carers and family. Therefore, any reference in this section of the privacy policy to the passenger may be taken where in context permits, as a reference to the passenger’s family, guardian and or carers.
Purpose of Collection of Personal Information
Ozmates will only collect information that is relevant and that is necessary to ensure that the passenger will receive the proper care and for example, for assessing eligibility to participate on an Ozmates holiday or which holiday would be more suitable for that person.
Personal information
The amount and type of personal information Ozmates require depends on the amount of assistance that is required to ensure the passenger needs are met. Only information required is sought so Ozmates can meet its aim to ensure that you have a safe and happy holiday experience.
At the end of each holiday tour passenger’s personal files will be returned with the passenger to give to staff or family member.
As a minimum Ozmates will have a record of name, address, contact details including telephone numbers, facsimile numbers. Email addresses, PO Box Numbers and other contact details may also be held.
Ozmates also hold other information such as: the holiday tours that have been participated on along with the number of days travelled with Ozmates as information for its point system for half price holiday.
Ozmates also keep on our records, behaviour while on tour, which is, discussed with Ozmates carers for suitability on future holiday tours and which holiday tour would be most suited for the individual. This will be discussed with parents, guardians and primary carers, prior to a passengers next holiday with Ozmates Travel.
Responsibility of Ozmates Staff
Ozmates staff will ensure that they apply the current legislative responsibilities and information privacy principles in all aspects of their work. They will also bear in mind that changes will occur which may lead to amended work practices in the future.
Ozmates staff is aware of their mandated responsibilities under the privacy act in relation to the confidentiality of client information.
To ensure Ozmates can effectively provide the quality of service that Ozmates prides it self on, information will be used for what it is intended. That is: for the health, safety and well being of all while on a holiday tour with Ozmates Travel.
Ozmates Staff Qualifications and personal information
While Ozmates staff have various qualifications in the disability field including certificate 4, or have done equivalent courses and hold Senior First Aid (level 2) and completed other courses, a photo copy of certificates of these courses is held by Ozmates Travel for their own records. Personal records of Ozmates Travel staff is confidential and will not be available for any reason except if required by law. However if requested certificates for the various courses that Ozmates staff have completed and held by Ozmates Travel can be sighted at the office by appointment. Copies will not be sent for any reason.
While on a holiday tour
At any time during the holiday Ozmates staff may receive or become aware of additional information in relation to the passenger.
The confidentiality provisions of the Privacy Act and the privacy principles will generally continue to apply. Examples of exceptions to this rule are:
- If an Ozmates staff becomes aware that a passenger may have been involved in a criminal activity, the staff has an obligation to report this to Ozmates management and may also have an obligation to report it to the police.
- Where a passenger discloses information that indicates sexual or physical assault has occurred to a passenger or by a passenger on another individual, the staff must report this to management and the allegation must be reported to the Police.
- Ozmates management will notify appropriate people (parents or supervisors / staff) of the allegations.
Storing Information
All Ozmates staff must take care when using and storing information which may be sensitive. This applies to information collected and or stored electronically or as given to Ozmates for the duration of the holiday tour.
Client files will be kept securely stored where access is limited to staff and management who need the information to carry out their responsibilities in relation to the passenger travelling with Ozmates Travel.
